How personal data is processed on voxquartzsystems.pl.

1. Data controller

The controller of personal data processed on voxquartzsystems.pl is VOXQUARTZ SYSTEMS Spółka z ograniczoną odpowiedzialnością, a Polish limited liability company with its registered office at ul. Widokowa 6, 05-250 Radzymin, Poland, entered in the register of entrepreneurs of the National Court Register under number KRS 0001250570, tax number NIP 1251811506, statistical number REGON 545126609 (the "Controller").

2. What we process, and why

Contact form - we process your name, email address and the content of your message in order to answer your enquiry and correspond with you (Article 6(1)(b) and (f) GDPR: steps prior to entering into a contract, and the Controller’s legitimate interest in handling enquiries).

Email correspondence - data you send to the Controller’s addresses is processed to handle that correspondence and, where it comes to it, to enter into and perform a contract.

Site statistics - we use Umami, cookie-free analytics that collects anonymous traffic data (pages visited, device type). That data does not identify a user.

3. Recipients

Contact form submissions are transmitted through Web3Forms (a form-relay provider), and the form is protected against spam by hCaptcha (Intuition Machines, Inc.). The site is hosted on Cloudflare infrastructure. Anonymous statistics are processed by Umami Software, Inc.

These providers process data only as far as delivering their service requires. Where a provider is outside the European Economic Area, transfers are made under standard contractual clauses or another mechanism provided for by the GDPR.

4. Retention

Data from enquiries is kept for as long as the correspondence continues and then for up to 3 years, for the establishment, exercise or defence of legal claims. Data connected with a concluded contract is kept for the period required by law, including tax and accounting rules.

5. Your rights

You have the right to access your data, to have it corrected or erased, to restrict its processing, to data portability, and to object to processing based on legitimate interest. Providing data in the form is voluntary, but it is necessary if you want an answer.

You also have the right to lodge a complaint with the supervisory authority in your own country, or with the Controller’s lead authority, the President of the Personal Data Protection Office in Poland (ul. Stawki 2, 00-193 Warsaw), if you consider that the processing of your data infringes the GDPR.

6. Cookies

The site sets no cookies of its own for marketing or tracking. Umami analytics works without cookies. Cookies strictly necessary for operation may be set only by hCaptcha, as part of protecting the contact form against spam.

7. Changes to this policy

This policy may be updated when the law or the site changes. The current version is always available at voxquartzsystems.pl/en/privacy-policy/.
